OVERVIEW: Public Responsibility in Medicine and Research (PRIM&R), an educational nonprofit organization based in Boston and dedicated to advancing the highest ethical standards in the conduct of biomedical, social science, and behavioral research, seeks a full-time Project Assistant. Founded in 1974, PRIM&R accomplishes its mission through education, membership services, professional certification, public policy initiatives, and community building, and has a diverse membership of 4,000+ individuals representing all 50 states and 40 countries. RESPONSIBILITIES: Reporting to the Conference Coordinator, the Project Assistant plays a key role in supporting PRIM&R’s conference and educational initiatives. Responsibilities include but are not limited to:
Conferences (estimated 45% effort):
Create and update conference agendas.
Assist with speaker management (e.g., invitations, collecting and updating information, responding to questions, and more).
Work on the conference poster presentation and call for session proposal programs (e.g., updating materials and systems, creating web content, managing submissions, and more).
Provide administrative support for conference CME program (e.g., compile application documents, manage credit hours, and more).
Assist with the request for proposals process for meeting venues.
Provide administrative support for the conference supporter and exhibitor programs (e.g., cultivating vendors, processing applications, and more).
Attend conferences to assist with conference and education-related activities.
Education (estimated 45% effort):
Work with professional development assistant on certification program recertification applications (e.g., processing payments, managing records, drafting communications)
Assist the professional development assistant with coordinating PRIM&R’s scholarship programs (e.g., processing applications, drafting communications)
Assist the online learning coordinator with webinar program tasks (e.g., creating forms, drafting and monitoring webinar-related emails, managing webinar recordings)
Assist program coordinator with preparation and revision of Education Committee minutes and memos
Other (estimated 10% effort):
Work on the production of conference, webinar, and short course evaluations, as well as pull reports, and summarize data
Serve as a member of the customer service and registration team (e.g., respond to general inquires, respond to attendee and speaker inquiries, process conference registrations, substitutions, and transfers, etc.)
QUALIFICATIONS: The successful candidate will have 1-2 years office and/or customer service experience; excellent communication and customer service skills (oral/written; in person and over the phone); ability to communicate effectively with diverse constituencies across the organization and externally; flexibility and ability to work independently and collaboratively; strong attention to detail and accuracy; ability to multi-task, in a fast-paced, deadline driven environment; proficiency with the MS Office Suite (Word, Excel, PowerPoint) required; experience with non-profits and databases helpful, but not required. Qualified candidate must have the ability to travel overnight several times a year.
