Compiles and maintains student cumulative and special education records. Responsible for the due diligence of acquiring student records within a timely manner upon admission and returning the updated records upon discharge from Hermitage Hall. Coordinate all aspects of communication between the Director of Education and parents of residents but also with other staff of Hermitage Hall and/or affiliates as needed to conduct business.
Prepare student cumulative files to include all pertinent school information such: previous school records, birth certificate, report cards, IEP, behavior plans (if applicable), attendance, discipline and court orders.
Coordinate filing system to indicate state, type of records, expiration dates, etc.
Retrieve student records in appropriate time to file which individual states or entities for funding purposes.
Maintain communication with Education Director, the Clinical Director, Admissions Director and CFO to ensure that admission and discharge lists are accurate.
Process and follow up on all record requests to other states.
Secure all student records in locked cabinet.
Prepare reports as required for Title I compliance.
Prepare and enter monthly school of Excellence surveys.
Demonstrate knowledge of state licensing regulations, contractual requirements, CARF standards, HIPPA policy, ordinances, laws and other regulations required of his/her position and acts consistently and in obedience to the same.
Communicate with parents over questions about their child's records and mail report cards throughout the school year as needed.
Helps serve as a liaison with regulatory and other outside agencies as needed.
Maintains confidentiality and safeguards security of files and records.
Participates in in-service and other training activities that enhance professional growth and development.
Conducts other duties as assigned.
Practices extreme confidentiality with regard to residents and staff.
Maintains current and complete personnel file including updated training.
Willing to work overtime as needed.
Must be reliable.
This position is funded through Title I, which is Federal Program; as such it may not continue to be funded in the future.
