Providence is calling an Administrative Assistant 3 (1.0 FTE, Variable) to Providence Portland Medical Center in Portland, OR to support our Director of Nursing.
Typical hours will be 8am - 5pm, but will need some flexibility for early morning or late evening meetings at times.
In this position, you will:
Perform full and complex administrative functions of a highly visible customer service department.
Perform assignments that are sensitive in nature and demonstrated ability to interface with high level of internal and external contacts requiring considerable discretion and initiative.
Provide meeting and presentation support services, and on-boarding support for new employees.
Maintain files, databases, make travel requests/arrangements, purchasing and billing support, place operational supplies as needed for each unit, special orders, medical and unit needs.
Maintain HealthStream Learning Events for all meetings/education/events, and enter staff attendees including skills fairs education.
Use considerable judgment and initiative to determine the approach or action to take in non-routine situations.
Required qualifications for this position include:
2 years of college or business school training or equivalent experience
5 years spent in a position equal to executive or administrative secretary
Experience will include a public relations or customer service based experience
Evidence of written and oral communication skills
Ability to deal with sensitive and confidential matters
Preferred qualifications for this position include:
5 years spent in a position equal to executive or administrative secretary in the industry
3 years of administration office support experience to include advanced computer skills and working knowledge of a variety of software programs and communication vehicles
